Publishing Your Form
Publishing makes your form live and accessible to respondents. Click the Publish button in the top toolbar to activate your form. The button changes state to indicate your form is now published and collecting responses.
Unpublished forms remain in draft state. Only workspace members with edit access can see draft forms. Respondents cannot access or submit data until you publish.
Public vs Private Forms
The Public toggle in the settings panel controls who can access your form. This setting determines whether authentication is required to submit responses.
Public forms are accessible to anyone with the link. No login or workspace membership is required. Use public forms for community surveys, customer feedback, or field data collection by external teams.
Private forms require authentication. Only workspace members can access and submit responses. Use private forms for internal data collection, quality control workflows, or sensitive information that requires access controls.
Copying the Form Link
Click the Copy link button next to your form title to copy the form URL to your clipboard. This link directs respondents to your published form.
The form link remains constant even when you update fields or settings. Share this link via email, messaging apps, or embed it in websites and documentation.
Using the Share Button
The Share button in the top toolbar provides quick access to sharing options. Click it to view the form link, copy it quickly, or access additional sharing features.
This button is only active for published forms. Draft forms cannot be shared until you click Publish.
Best Practices
Always preview your form before publishing to verify appearance and functionality. Test all field types, validation rules, and conditional logic to ensure everything works correctly.
Consider your audience when choosing between public and private access. Public forms require clear instructions since respondents may be unfamiliar with your workspace. Private forms benefit from internal documentation and training.
Test the form link in a new browser window or incognito mode. This confirms the form appears correctly for respondents who are not logged into your workspace.
Update respondents if you make significant changes to a published form. While the link remains the same, changes to required fields or form structure may affect their submission experience.
